Privacy Policy – Personal Data Protection

Welcome to congress.areo2000.ro, owned by the Romanian Association for Excellence in Orthodontics (AREO). The site allows you to view published information, subscribe to newsletters, and register for AREO-organised events.

We appreciate your interest in our association, its events, and services. To ensure transparency, this page outlines how we process the personal data you share with us.

In line with Regulation (EU) 2016/679 (GDPR), Law no. 190/2018, and Law no. 506/2004, AREO drafted, applies, and respects this privacy and data protection policy.

1.1 Terms and definitions

"Personal data" means any information relating to an identified or identifiable natural person ("data subject"). An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

"Special categories of personal data" means personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs or trade union membership, as well as the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person's sex life or sexual orientation.

"Controller" means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data. Where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law.

"Data subject" means any living person whose personal data is held by an organisation.

"Processing" means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

"Profiling" means any form of automated processing of personal data consisting of the use of personal data to evaluate certain personal aspects relating to a natural person, in particular to analyse or predict aspects concerning that natural person's performance at work, economic situation, health, personal preferences, interests, reliability, behaviour, location or movements.

"Personal data breach" means a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data transmitted, stored or otherwise processed.

"Consent" of the data subject means any freely given, specific, informed and unambiguous indication of the data subject's wishes by which they, by a statement or by a clear affirmative action, signify agreement to the processing of personal data relating to them.

"Child" The GDPR defines a child as any person under the age of 16, although Member State legislation may lower the age to 13. Processing the personal data of a child is lawful only if parental or legal guardian consent has been obtained. The controller will take reasonable steps to verify, in such cases, that the holder of parental responsibility over the child grants or authorises the consent.

"Third party" means a natural or legal person, public authority, agency or body other than the data subject, controller, processor and persons who, under the direct authority of the controller or processor, are authorised to process personal data.

"Filing system" means any structured set of personal data which are accessible according to specific criteria, whether centralised, decentralised or dispersed on a functional or geographical basis.

The Romanian Association for Excellence in Orthodontics (AREO) is a Romanian legal entity devoted to promoting orthodontic science, supporting continuing education, and defending members’ interests with public institutions and third parties.

Collecting information

AREO collects data directly from users or other sources when you register on areocongress.ro, sign up for AREO events, apply for membership, or request information as a medical professional.

Depending on the services accessed, we collect personal data such as name, email, phone number, and mailing address. We keep this information confidential and use it to manage event registrations and AREO membership.

For events offering continuing medical education (CME) credits, we may collect additional information required by professional bodies such as the College of Dentists of Romania (CMSR). Refusal to supply the requested data can lead to cancellation of registration and loss of credit eligibility.

Using information

Registration data is confidential and used only to administer the selected events and send you updates. AREO may cancel registrations that contain inaccurate data or when participants cannot be reached using the provided contact details.

By consenting to these terms, you authorize us to send information about AREO services, events, and partners.

Rights of data subjects

Individuals whose personal data we process have the following rights:

  • Right to be informed (Articles 13 and 14 of the Regulation).
  • Right of access regarding the information held and those to whom it has been disclosed (Article 15 of the Regulation). 5.3 Right to rectification (Article 16).
  • Right to erasure (“right to be forgotten” – Article 17).
  • Right to restriction of processing (Article 18).
  • Right to data portability (Article 20).
  • Right to object to processing (Article 21).

Send written, dated, and signed requests to areorto@gmail.com to exercise these rights. AREO responds within one month, extendable by two months depending on complexity.

Purchasing products online (if applicable)

Paying online for events or membership via areocongress.ro may require saving card data. We comply with international privacy standards. Card security codes (CVV) are used only for the transaction and never stored.

Saved card data can be updated or deleted at any time. Password changes may be required for security reasons. Always handle your access credentials responsibly.

Disclosing information to third parties

AREO owns the information collected on this site and does not sell or trade personal data. Trusted service providers may process data on our behalf under confidentiality obligations.

We may disclose data to investigate illegal activity, suspected fraud, threats to safety, violations of our terms, or when required by law. Data can be shared with authorities legally authorised to request it.

GDPR allows certain disclosures without consent for the purposes below:

  • - protecting national security;
  • - preventing or detecting crimes, including arresting or prosecuting offenders;
  • - fulfilling regulatory functions (including health, safety and people's well-being in the workplace);
  • - preventing serious harm to a third party; and
  • - protecting the vital interests of an individual, referring to life-or-death situations.

Protecting information

We apply robust security controls to safeguard personal data online and offline. Only authorised personnel involved in billing or customer support can access identifiable information.

Participation agreement

Event participants agree to respect AREO’s reputation and not engage in defamatory actions. AREO may use photos or videos captured during events for promotion across social media, digital platforms, and the association website.
